Outreach in 10 steps

  1. 1
    Venue feasibility · Weeks 1–2

Confirm four-walling, outside DCP, day rate, F&B minimum, DCI specs, insurance. Get 2–3 venues in play.

  2. 2
    Licensor availability · Weeks 2–4

With venue, date, seats, and ticket price in hand: availability, terms, DCP existence. Do not sign yet.

  3. 3
Provisional venue hold · Week 4

Written hold before any public announcement.

  4. 4
Lock license terms · Weeks 4–6

Fixed cost floor — build your crowdfunding goal from this number.

  5. 5
    Sponsors & partners · Weeks 5–7

Local partners + co-presenter; line up ~30% soft commitments.

  6. 6
    Launch campaign · Week 7

30-day max; presale framing; goal = floor + fees + contingency.

Do these six things first

  • 1. Pick the program

Highest probability first event: Hammer 1970s via Park Circus.

  • 2. Identify three venues

Include at least one independent art house and one Alamo Drafthouse.

  • 3. Four-wall feasibility call

One question decides everything: outside DCP under outside license?

  • 4. Email the licensor

City, dates, seat count, ticket price — terms and DCP availability.

  • 5. Build the crowdfunding goal

Only after venue rate and licensing quote; include fees and contingency.

  • 6. Ask about fiscal sponsorship

One email to a local arts nonprofit can unlock grants and deductible gifts.
